Something Not Working? Here's How to Fix It

Here are solutions to the most common issues. If you don’t find your answer here, email us at support@keepmymail.net.

My email isn’t appearing in Gmail

  • Check your dashboard — sign in to KeepMyMail and look at your mailbox status. If there’s an error, it will be displayed there.
  • Try “Sync Now” — click the Sync Now button on your mailbox to trigger an immediate check. New emails should appear in Gmail within a few seconds.
  • Check your sync history — go to the Sync Log to see detailed results from recent checks, including how many emails were found and delivered.
  • Check if your mailbox is paused — if KeepMyMail encountered repeated errors, it may have paused your mailbox automatically. See the “My mailbox says paused” section below.
  • Check your Gmail spam folder — in rare cases, imported emails might be filtered by Gmail. Check your spam folder and mark them as “Not spam” if found.

I see a connection error

A connection error means KeepMyMail could not reach your email server. Common causes:

  • Your email provider is down — check your email provider’s status page or try logging into your email through their website.
  • Server address has changed — your email provider may have updated their server settings. Check their help page for the latest server details.
  • External access is disabled — some email providers require you to enable “external access” or “third-party app access” in their settings before KeepMyMail can connect.

Click Test Connection on your mailbox to see the specific error message, which will help you identify the issue.

I see an authentication error

An authentication error means your email password was rejected. This usually happens because:

  • Your password changed — if you recently changed your email password, update it in KeepMyMail by editing your mailbox.
  • You need an app password — some email providers (like Yahoo, AOL, and iCloud) require a special “app password” instead of your regular password. Check your provider’s help page for instructions on generating an app password.
  • Two-factor authentication — if you recently enabled two-factor authentication on your email account, you may need to generate an app password.

I’m getting duplicate emails

KeepMyMail tracks which emails have already been delivered to your Gmail to prevent duplicates. If you’re seeing duplicates, it may be because:

  • Another service is also importing — check if you have email forwarding set up at your email provider, which could send the same emails twice.
  • A rare edge case — if you’re confident the duplicates are coming from KeepMyMail, please email us at support@keepmymail.net with your mailbox name and the approximate dates. We’ll investigate.

My mailbox says “paused”

If KeepMyMail can’t connect to your email account several times in a row, it automatically pauses checking to avoid sending you repeated error notifications.

To resume:

  • Fix the underlying issue — check the error message on your mailbox card. Common causes are a changed password or a provider outage.
  • Update your settings if needed — if your password changed, edit your mailbox and enter the new password.
  • Click “Test Connection” — this verifies the fix works.
  • Click “Sync Now” — this resumes checking and triggers an immediate sync.

I can’t add a new mailbox

Each plan has a limit on the number of email accounts you can add:

  • Free plan: 1 mailbox
  • Pro plan: 10 mailboxes

If you’ve reached your limit, you can upgrade to Pro for more mailboxes, or delete an existing mailbox you no longer need.

My emails are arriving late / delayed

KeepMyMail checks your email on a regular schedule depending on your plan:

  • Free plan: every 4 hours
  • Pro plan: every hour

If you need an immediate check, click Sync Now on your dashboard or in the Gmail Add-on. For faster automatic checking, consider upgrading to Pro.

I changed my email password and KeepMyMail stopped working

If you changed the password on your other email account, KeepMyMail can no longer connect with the old password. To fix this:

  • Go to your KeepMyMail dashboard and click Edit on the affected mailbox
  • Enter your new email password
  • Click Test Connection to verify it works
  • Save your changes

I need to reconnect my Google account

In rare cases, KeepMyMail may lose access to your Gmail (for example, if you revoked permissions or changed your Google password). If this happens:

  • Sign out of KeepMyMail
  • Sign back in with Google — this will re-authorize access
  • Your mailboxes and settings will be preserved
