Choosing how KeepMyMail checks your email

When adding an email account, you’ll choose between two methods. In most cases, we recommend IMAP — it lets you pick which folder to check (for example, just your Inbox or a specific folder).

The other option, POP3, is simpler but downloads everything without folder filtering. This is what Gmail’s old built-in feature used.

If you’re not sure which to pick, just leave the default (IMAP). Most email providers support both methods.

Choosing a Gmail label

When setting up a mailbox, you can optionally assign a Gmail label to all imported emails. This makes it easy to find and organize emails from each account. For example, you might label all emails from name@work.com with a “Work Email” label.

If you don’t choose a label, imported emails will appear in your Gmail inbox without any special label.

Delete after import

KeepMyMail offers an option to delete emails from your other email account after they have been successfully imported into Gmail.

When to use this: If you want to keep your other mailbox clean and only manage email in Gmail.

Warning: If you enable this option, emails will be permanently deleted from your other email account after import. This cannot be undone. Do not enable this if other people or devices also access that email account, or if you want to keep copies in both places.

This option is off by default. You can enable it when adding or editing a mailbox.

Editing a mailbox

To change settings for an existing mailbox, click Edit on your mailbox card. You can update:

  • The mailbox name (a friendly label you choose)
  • Your email password (if it has changed)
  • Server settings (host, port, protocol)
  • The Gmail label applied to imported emails
  • The “delete after import” option

Pausing and resuming

KeepMyMail may automatically pause a mailbox if it encounters repeated connection or authentication failures. This prevents unnecessary retries and repeated error notifications.

To resume a paused mailbox, fix the underlying issue (such as an outdated password), then click Sync Now. See our troubleshooting guide for common fixes.

Deleting a mailbox

To stop checking an email account, click Edit and then Delete Mailbox. This will:

  • Stop all future email checks for that account
  • Remove the stored (encrypted) password from our system

Important: Emails that have already been delivered to your Gmail will remain there. Deleting a mailbox in KeepMyMail does not affect any emails already in your Gmail.

Understanding sync status

Your dashboard shows the status of each mailbox:

  • Active — working normally, checking email on schedule
  • Syncing — currently checking for new email
  • Error — the last check encountered a problem (click to see details)
  • Paused — checking has been temporarily stopped due to repeated errors

You can view detailed sync history in the Sync Log section, which shows exactly when each check happened, how many emails were found, and whether there were any issues.
